What personal data we collect and why we collect it

Registration/Event Sign-up Forms

Visitors who complete a registration form are entered into our mailing database, which is an on-site program located at our office. Registrants also have the ability to toggle a checkbox to receive or not receive electronic communication such as our e-newsletter.

Online Registration System

Those guests attending a Hartland Sponsored Event that utilizes our online registration system, enter info such as emergency contacts and medical notes. This information is limited to our registration team and the medical staff on site during the event. Any printed data such as medical release forms is stored per our document retention policy and then destroyed.

Contact forms

Those guests who fill out contact forms on our site are added to our camp database located at our camp office, which is used for guest communication, notes, and our postcard mailers.

Cookies

If you have an registration account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Who we share your data with

We do not share your data with anyone outside of approved selections. Data is limited to registering for an event. Those who opt to be part of our e-newsletter are included in our Mail Chimp Mailing list, which is also encrypted through their site. The e-newsletter mailing list is limited to email address and name. E-newsletters go out generally 12-15 times per year (usually once per month, and on occasion for special events or notices)

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time. Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes (examples include medical and liability forms which have state-mandated document retention periods.

Where we send your data

All data remains internal to Hartland Christian Camp, except where required to share by law (open cases, court order, etc.)

Your data, if any, remains secure on our encrypted website and any personal data is stored on a physical hard drive on premises at our camp office.

In the event of a data breach, all impacted parties will be contacted.

What third parties we receive data from

Some Google or Social Media ads target based on certain criteria, these usually may include general age-range, gender, and country.

What automated decision making and/or profiling we do with user data

We do not use your data for anything other than the registration process, and those who leave the opt in notice for our e-newsletter or mailing list will receive electronic or mail communication (postcard, etc.) Data is not shared or stored outside of our website or on-site at our camp office.

Industry regulatory disclosure requirements

Hartland Christian Camp abides by any legal requirements for the handling of your data and does not sell your information. We do not share your information unless required by law.
